A quote comes before agreement
A quotation sets out the proposed work or product, price, conditions and how long the offer is valid. For contractors, include what is excluded, who supplies materials and how price changes will be handled.
An invoice requests payment
An invoice documents what the customer is being charged for. Include a clear description, correct amounts, payment instructions and payment terms. Ask your accountant about tax-invoice requirements applicable to your business.
A receipt confirms payment
After payment, issue proof that records what was paid and when. A payment screenshot is not always a verified bank settlement; reconcile payments against your payment provider or bank.
Choose the smallest workflow
A simple invoicing tool is often enough for a new service business. As transactions increase, your accounting system and bookkeeping process may need to evolve.
